About the Quote Generator

This quote generator turns a list of products or services into a tidy, ready-to-send price quote. Type one line item per row with a quantity and unit price, add a discount and sales tax rate, and it totals everything, works out the expiry date and produces a formatted quote you can copy into an email, document or invoice tool.

It is designed for freelancers, contractors, agencies and small shops who need to answer "how much will it cost?" quickly and consistently. Every figure is recalculated as you type, so you can try different quantities or discounts before you commit to a price.

Formula and method

Subtotal = Σ(Qty × Unit price) · Total = (Subtotal − Discount) × (1 + Tax rate)

Each line item amount is its quantity multiplied by the unit price, and the subtotal is the sum of all lines. The discount percentage is applied to the subtotal, and sales tax is then charged on the discounted amount, so the client pays tax only on what they are actually charged.

The expiry date is the quote date plus the number of days the quote stays valid. Setting an expiry protects you if material costs or your availability change before the client accepts.

Worked examples

Web design quote with discount and tax

Lines total $2,500 + 12 × $25 + 5 × $150 = $3,550. A 5% discount removes $177.50, leaving $3,372.50; 8.25% tax adds $278.23 for a total of $3,650.73. A quote dated 1 October valid for 30 days expires on 31 October 2026.

Contractor estimate, no tax

Sixteen hours at $65 is $1,040, plus $840 of materials (a single-price line) and a $120 disposal fee, for $2,000. With no discount or tax the total is $2,000, valid for 14 days until 15 October 2026.

What is the difference between a quote and an estimate?+

A quote is usually a fixed price the seller commits to for a set period, while an estimate is an approximate figure that may change. Label your document clearly and state what could change the price.

How long should a quote be valid?+

Many businesses use 14 to 30 days. Use a shorter period when material prices are volatile or your schedule fills quickly, and a longer one for large projects that need approval time.

Is a quote legally binding?+

Once a client accepts a quote that sets out price and scope, it can form a contract in many jurisdictions. Include clear terms, exclusions and an expiry date, and get written acceptance for larger jobs.

Should the discount be applied before or after sales tax?+

Seller discounts are normally applied before tax, so tax is charged on the reduced price. That is how this generator works; manufacturer coupons can be treated differently in some states.
